Policies and Procedures

TravelHorse is a company whose aim is to provide safe, reliable, equine transport for journeys up to eight hours. The horses’ welfare is paramount at all times.

The following policies and procedures are set to ensure that the above is achievable. They also contain our fee structure and all qualifications held.

Qualifications and Insurance

Operator: Jackie Robinson

Originally from a horse racing family in Epsom, Jackie has been around horses all her life and has been an owner for the last 30 years. Having experience with racehorses through to cheeky little ponies she has seen it all.

In relation to the business, Jackie holds the following certificates:

Driver CPC
NCPT Level 2 (transporting animals for journeys up to 8 hours)
DEFRA compliant with the APHA Animal Transporter Authorisation.

Insurance

Fully comprehensive vehicle insurance with horse transport breakdown cover.
Care, Custody and Control insurance for horses.
Public Liability insurance.

The Vehicle

The horse box is a 3.5 tonne ‘Racemaster’ built for purpose and fitted to the highest standard to ensure both horse and driver/passenger safety and is stalled for two. The partition can be moved to accommodate different sized horses and mare and foal travel.

The vehicle carries a satellite navigation system as well as maps to ensure accurate routes. The vehicle is subject to a stringent maintenance plan, with daily checks against checklists and maintenance with an accredited garage at regular intervals.

The vehicle is cleaned and disinfected prior to and immediately after each journey with checklists to ensure efficient implementation.

An itinerary of on board equipment, (including first aid kits)to cover all eventualities is checked prior to and after each journey, with checklist to ensure correct items are on board.

CCTV with a camera over the horse area is fitted in the cab so the horse is continually monitored for signs of stress or illness throughout the journey.

Fee Structure

Fees will be charged according to the following:

£1 per mile travelled for the round trip including half an hour loading/unloading prior to and after travel.

Any additional waiting time will be charged at £15 per hour pro rata.

For any other arrangements fees will be subject to negotiation.

TravelHorse will not be responsible for any event entrance fees, veterinary fees or overnight stabling.

Booking

All bookings will be taken by phone, although enquires will be answered via email.

Information taken will be a departure place, travel date and time and destination. Please provide a postcode wherever possible. In addition we will ask the size of the horse and any special requirements. All this is to aid our preparation for the journey.

The fee for travel will be subject to our fee structure set out on the following page. A copy of TravelHorse’s Terms and Conditions will be emailed to the client where ever possible otherwise we will go through this with you on the day of travel prior to the journey.

Bookings must be confirmed 24 hours before travel. If travel is cancelled within 24 hours of departure 50% of the agreed fee will be charged. If travel is cancelled within 12 hours of departure 100% of the agreed fee will be charged. See The Fee Structure page for further details.

TravelHorse ensures that all journeys are carefully planned prior to departure, taking into account the horse’s welfare, appropriate stopping places if needed, the route, and any alternative routes should a traffic problem arise.
